Chromebook Program

Here's information about the Chromebook program.

At a Glance
  • Grades 2–12 receive a District Chromebook.
  • 6-12 bring it daily; charge at home nightly.
  • Use your own District account.
  • Optional DPP: $35 (25–26, grades 6–12).
    • This covers the first breakage on each part of the device. If the same part is damaged, the family will incur additional charges.
Receiving

Chromebooks are issued at the start of the year (grades 2–12). If a different device is needed for accessibility, the Assistive Technology Coordinator will help identify a fit.

Returning

Elem/MS return at year end. HS may keep over summer until graduation. Unreturned devices may be treated as stolen property.

Care
Important: All repairs are done by District I&T—do not use outside services.
  • No food/liquids near device (not covered by DPP).
  • Carry closed, in sleeve; use two hands.
  • Avoid heat/cold (don’t leave in cars).
  • Store in locked locker/secure room when not in use.
  • School-appropriate wallpaper; do not share devices.
In School
  • Bring to every class unless told otherwise.
  • Loaner available if left at home; return by day’s end.
  • Loaners during repair; same rules apply.
  • Keep sound muted unless instructed; bring headphones.
  • Submit work digitally when possible; limited printing available.
  • Log in with your District account only.
Device Protection Plan (DPP)

Optional, annual opt-in; helps cover accidental damage/theft (limits apply). Grades 6–12 routinely transport devices.

2025–26: $35 per student (covers school year + summer or until graduation/withdrawal).

This covers the first breakage on each part of the device. If the same part of the unit is damaged, the family will incur additional charges.
Intentional damage may be billed up to full replacement. Examples: carvings/drawings, stickers/adhesives, removed padding/keys.

Receiving the Chromebook

Chromebooks are distributed to students in grades 2–12 at the beginning of each school year. All students are issued a District-owned device.

If a device is unable to meet a student’s learning needs due to extenuating circumstances, the District will work with the Assistive Technology Coordinator to identify a more suitable option.

Items issued and tracked in the District inventory system include:

  • Chromebook with Holmen School District ID, student name, and barcode affixed (do not remove)
  • Charging cord with AC adapter
  • Protective sleeve or carrying case

Returning the Chromebook

Elementary and Middle School students return their Chromebook at the end of each school year. High School students may keep their Chromebook over the summer beginning the summer they enter high school and continuing until graduation.

Students typically retain the same Chromebook for 3–4 years. Failure to return a Chromebook will result in the device being considered stolen property and law enforcement may be notified.

Taking Care of the Chromebook

Care of the Chromebook is the responsibility of the student. If a device is not working properly or is damaged, it should be taken to the Helpdesk Specialist (middle or high school) to begin the repair process.

Do not take District devices to outside repair services. All repairs and maintenance are completed by District Information & Technology staff.

Device Expectations

  • No food or drinks near the Chromebook (liquid/food damage not covered by DPP)
  • Insert and remove cords carefully
  • Do not apply pressure to the screen
  • Carry Chromebooks in the closed District-provided case while in hallways
  • Never carry the Chromebook by the screen or with the screen open
  • Use both hands when carrying outside the case
  • Do not leave devices in extreme temperatures (e.g., vehicles)
  • Store devices in locked lockers or teacher-designated secure locations
  • Take Chromebooks home nightly and return fully charged
  • Charging at school is not permitted
  • Screen savers and backgrounds must be school appropriate
  • Devices may not be shared with other students

Using the Chromebook at School

Students are expected to bring their Chromebook to class daily unless instructed otherwise. If forgotten, a loaner Chromebook may be issued by the library or building technician if available.

Loaner devices must be returned before the end of each school day.

Chromebooks Under Repair

While a Chromebook is being repaired, students will be issued a temporary loaner device. Home use may be approved by administration on an as-needed basis.

Device Security

Devices must be stored securely during the school day, athletic events, practices, and trips. Unattended Chromebooks may be confiscated to prevent theft.

Sound & Headphones

Sound must remain muted unless approved by a teacher. Students are expected to provide headphones or earbuds when sound is required.

Printing

Digital submission is encouraged. Printing is permitted for grades 6-12 in special circumstances such as presentations, process papers, or IEP accommodations.

Account Access

Students must log in using their District account only. Use of another student’s account violates the District Acceptable Use Policy.

Accessories

Optional accessories such as hard shell cases, mice, or keyboard covers may be purchased by families.

Repair Costs & Device Protection Plan

The District covers repairs caused by manufacturing defects, device malfunction, or normal wear and tear. Repairs due to accidental damage, misuse, neglect, loss, or theft are not covered unless enrolled in the optional Device Protection Plan (DPP).

The 2025–26 DPP fee is $35 per student for eligible grades (6–12). With the DPP, each repair or replacement part is covered once with no deductible. Lost devices are not covered.

Intentional damage—including carvings, drawings, stickers, removed padding, or damaged keys—may result in full replacement costs up to $415, regardless of DPP enrollment.
