Alternative Vehicle Drivers

Requirements for employees and non-employees who may drive with students for school-related trips and activities.

Who should read this?

This information is for anyone who may be a potential driver on a student-related trip. If you do not anticipate transporting students to school-related events, you may disregard this information.

How to Get Approved

Step 1 - Administrative Authorization

Complete Alternative Vehicle Driver Form #1 for approval to drive on student-related trips. A criminal background check and motor vehicle record (MVR) check will be requested via email.

Step 2 - Medical Opinion (if applicable)

Employees and those receiving compensation (for example mileage) must complete a Medical Opinion - Form #2.

Step 3 - Personal Vehicle Use (if applicable)

If using your personal vehicle to transport students, complete Vehicle Inspection - Form #3 and provide Proof of Insurance.

Processing time: Form #1 may take 7-10 days to process. Please plan ahead.

Insurance & Legal Notes

If you drive your personal vehicle for district business, your personal insurance is primary. District coverage is secondary.

If you drive a district vehicle, you are covered under district insurance.

WI DOT rule: If transporting 10 or more students, a school bus must be used.

Background & Standards

The State of Wisconsin requires drivers transporting students to complete background and driving record checks.

Minimum driver age: 19 years old.

  • Drivers must be 19 years old or older.
  • Coverage follows the vehicle.
  • Allow 7-10 days for Form #1 approval.
