1:1 Handbook: iPads

Receiving the iPad

iPads will be distributed to students in kindergarten, first and second grades at the beginning of each school year. All students will be given a school issued device.
 
If the device is unable to meet the learning needs of a student due to extenuating circumstances, the district will work with the Assistive Technology Coordinator to help find a more suitable device.
 
The following items and accessories will be distributed and recorded in the district inventory system:
  • iPad with Holmen School District identification, student name and barcode affixed to device, none of which should be removed
  • Protective case for the iPad
  • Charging cord with AC Adapter power block
The information in this handbook is provided to help students understand how to use and protect their iPads.

Returning the iPad

Students will return their iPad at the end of each school year.   Students must return the iPad immediately upon discontinuing their enrollment in the School District of Holmen.

Taking Care of the iPad

Care of the iPad is the responsibility of the student.  iPads must never be removed from their protective case. 

General Guidelines

  • Students should not have food or drink near the iPad.
  • Students should exercise care when inserting and removing all cords, cables, and accessories and should avoid pressure against the screen
  • While walking in the hallway, the iPad should be held with two hands unless it is in a backpack or bag
  • Students should not leave the iPad in an area of extreme temperature (such as a car)
  • When students are not using their iPad, they should store it in in a secure location.  While at school, this location may be designated by the teacher
  • All backgrounds, photos and installed apps must be school appropriate
  • Students should not share their devices unless instructed by a teacher

In the event that an iPad fails to work properly or is damaged, students should follow the following process:

  • If in-person school is in session: take the iPad to the school office where it can be checked in for the repair process to begin, if a repair is deemed nescessary
     
  • If in-person school is not in session: drop off the iPad at the School District Offices at 1019 McHugh Rd.  The I&T department is based at this location and will initiate the repair process. 

Do not take district-owned iPads to an outside computer service for any type of repairs or maintenance.

iPads under repair

When a student’s iPad is in for repair, he/she may be issued a temporary iPad for use in the school until the repair is complete.  These iPads may be checked out for home use if approved by the building principal. The same expectations (appropriate care, handling and use) apply to iPads on loan during repair periods as for iPads originally issued to students.

Using the iPad at School

Device Security

Students should keep the iPad stored in a secure place. Unattended iPads may be confiscated by school personnel as protection against theft.

Sound

Students should keep their sound muted unless a teacher gives permission for it to be on for instructional purposes. Students may be asked to use headphones or ear buds when sound is necessary.

Printing

Printing from iPads is not supported by the School District. 

Account Access

In order to gain access to Google Apps (Google Docs, etc.) students should log in with their District account. Students should only use their account. Use of another student’s account is prohibited by the District's Acceptable Use Policy.

Accessories

Students may not replace the protective case provided with the iPad.  If an alternate case is required to support a specific learning need, the District's Assistive Technology Coordinator may make an exception to this rule and recommend an appropriate alternate case with different features. 

Though not required, students may purchase other accesories and choose to use them with their iPad.  These accessories, as examples, could include a carrying bag or keyboard.

Repair Costs & Device Insurance

Responsibility for Repair Costs

For students actively enrolled in the District, the District covers costs of device repair or replacement due to manufacturing defect, device malfunction or normal wear and tear .  All repairs or replacements are to be initiated by visiting the school library or District Office.

The District does not cover the costs of device repair or replacement needed due to accidental damage, misuse, abuse, neglect, loss or theft.  An optional insurance program is available to cover some of these costs. Coverage limitations apply. 

iPad Insurance

Parent/guardians are responsible for any repairs needed to the iPad due to accidental damage, misuse, abuse, loss, theft or neglect. To help alleviate the potential liability for some of these costs, the District offers an optional device insurance program.

Each year parents/guardians will be required to sign a form accepting or declining the insurance.  For those who accept the insurance, insurance takes effect once the insurance fee is paid.

The District's optional device insurance program covers costs associated with accidental damage or theft. Parents who do not have the optional insurance plan will be responsible for payment of all repairs or replacements not otherwise covered by the District.  

The premium rate (cost per student per year) of iPad insurance will be set each year by the District’s I&T Department. The 2020-21 school year premium rate is $18/student/year.  Insurance would typically be $24 but was discounted this year for all students, since iPads did not arrive for some students until October this year.  

Insurance covers the cost of fixing a device in case of damage, or replacing the device in the event it is stolen. To replace a stolen device, a police report must be filed. A device that is lost by the student will not be replaced by this insurance.

Each type of repair or replacement will be done one time under the insurance, with no deductible. Subsequent damage to the device will be the responsibility of the student/parent/guardian. Devices will be returned to the student after the repair is completed and any necessary payments for parts are made.

Power bricks, cases and cords are only covered by insurance when damaged equipment is returned to the school or District Office at the time the repair or replacement is requested. Replacement items must be purchased from the District.

If the iPad is intentionally damaged, the parent/guardian is responsible for the full cost of replacement of the damaged part(s) or entire iPad (up to $299) regardless of whether or not the student is a participant in the device insurance program.

Intentional damage will be determined at the discretion of the Information & Technology staff and can be any of the following, as examples.
  • Carvings
  • Drawings
  • Adhesives including stickers
