The School District of Holmen uses an automated system for hourly employees to report work time. The current system is named “True Time” by the software manufacturer, Skyward. To assist employees and supervisors in effectively using this system, the District has assembled a number of tutorials. Descriptions of the documents are provided below. Select the desired tutorial in the box on the right hand side of the page.
Employee
Quick Entry screen allows an employee with True Time access to clock in and out from the software, see their current status and totals, adjust their times, and submit their time sheet.
- Current Status shows the employee their current status.
- Edit the Existing Times allows an employee to edit their times. Note that if the existing times are edited, the employee's supervisor will be notified.
- Add a Missing Record allows an employee to add a transaction in True Time that currently did not exist. For example, an employee who forgot to clock in and out for lunch. Note that if a missing record is added, the supervisor for that employee will be notified.
- Delete Record allows an employee to remove a transaction in True Time. Note that if a transaction is deleted, the employee's supervisor will be notified.
My History shows an employee their current status, workweek totals, scheduled time, exception notes and adjustments.
Unsubmitted time sheets have not been sent by the employee to their supervisor for approval.
- View Time Sheet will show an employee how to view/print their time sheet in True Time before sending it to the supervisor.
- Submit Time Sheet is the process used to send a completed timesheet for the pay period to supervisors for approval. An employee can review, print, or submit a time sheet to their supervisor using this option.
- Resubmit Time Sheet is used when a timesheet has been denied for correction and will need to be re-sent to the supervisor for approval.
History will display a list of historical time sheets for an employee. This allows an employee to see past timesheets.
Supervisor
My Employees True Time shows the supervisor how to access and review their employees’ True Time data by status (in, lunch, break, etc.)
Schedule Tracker enables the supervisor to see employees that are starting before or after their scheduled start and end times. The tracker will also display lunch times.
Unsubmitted Time Sheet Instructions allows the supervisor to review their employees’ unsubmitted time sheets.
Unapproved time sheets have been submitted by the employee but have not been reviewed by the supervisor.
- Reviewing Unapproved Time Sheets provides instructions on how to review time sheet information including details, history, adjustments and work week totals.
- Individually Approving Unapproved Time Sheets is the process used by supervisors in approving or denying unapproved time sheets.
- Mass Approve Unapproved Time Sheets allows the supervisor to approve multiple timesheets at a time after they have been reviewed.
